Who we are

Callahan Learning Center ("CLC," "we," "us," or "our") is a licensed child care provider operating three locations in Virginia:

  • Locust Grove — 4354 Germanna Hwy, Locust Grove, VA 22508
  • Maple Grove — 916 Maple Grove Dr, Fredericksburg, VA 22407
  • Falmouth — 628 Cambridge St, Fredericksburg, VA 22405

This Privacy Policy explains what information we collect through our website at www.callahancare.com (the "Site") and in the ordinary course of running our centers, how we use it, who we share it with, and the choices and rights you have. It applies to prospective families, enrolled families, and job applicants who interact with us through the Site. Our services are intended for parents, guardians, and adults. The Site is directed to parents and guardians, not to children.

Information we collect

Information you give us. When you request a tour, contact us, or apply for a job through the Site, you may provide your name, email address, phone number, your message or inquiry, and — for tour and enrollment inquiries — information about your child, such as the child's name and age, which you provide as the child's parent or guardian. Job applicants may provide employment and background information through our application form.

Information about enrolled families. Once a child is enrolled, we collect and maintain the information needed to provide care and to meet our obligations as a licensed child care provider — for example, enrollment and contact details, scheduling and attendance, billing information, daily activity records, and family communications. Much of this is handled through our child-care management platform (see "Service providers we use" below).

Information collected automatically. Like most websites, our Site automatically receives certain technical information when you visit, such as your IP address, browser and device type, and basic usage information about the pages you view. We use this to operate, secure, and improve the Site. See "Cookies and tracking technologies" below.

How we use information

We use the information we collect to:

  • Respond to tour requests, questions, and other inquiries, and follow up with you about them;
  • Provide and administer child care and family services to enrolled families;
  • Review and respond to job applications;
  • Operate, secure, maintain, and improve the Site and our services;
  • Send you service-related messages and, where you have asked to hear from us, occasional updates about CLC; and
  • Comply with our legal, regulatory, and child care licensing obligations.

When you submit an inquiry through the Site, it is reviewed and followed up by our staff, and inquiries may be analyzed in aggregate to help us understand demand and improve how we respond to families. We use your contact information to reach you about your inquiry or your child's care. We do not sell your personal information, and we do not share it with third parties for their own advertising.

Service providers we use

To run our website and our centers, we rely on a small number of trusted service providers who process information on our behalf. We share information with them only as needed to provide our services, and we require them to protect the information they handle. These include:

  • Our website form and inquiry system — our tour, contact, and employment forms are provided through a third-party customer-inquiry platform. When you submit one of these forms, your submission (including any information about your child that you choose to provide) is transmitted to and processed by that platform so we can receive and respond to it.
  • Our child-care management platform — we use a child-care management service to support enrolled families, including scheduling, attendance, billing, daily journals, and family messaging and photo sharing. Information about enrolled children and families is processed through this platform as part of providing care.
  • Mapping services — our location pages use a third-party mapping service to display maps and directions to our centers. Loading these maps may share your IP address with, and set cookies from, that mapping provider.
  • Website analytics — we use a third-party web-analytics service to understand how visitors use the Site (for example, which pages are viewed and how visitors arrive) so we can improve it. This service uses cookies and similar technologies as described below.

Children's information

Because we are a child care provider, we recognize that information about children is the most sensitive information we handle, and we treat it that way.

Any information about a child that we collect through the Site is provided to us by the child's parent or guardian — for example, when a parent includes a child's name or age in a tour or enrollment inquiry. We use children's information only to respond to your inquiry and, for enrolled families, to provide and administer care and to communicate with you as the parent or guardian. We do not use children's information for advertising, and we do not sell it.

Photographs, videos, messages, and other media involving enrolled children are handled through our child-care management platform's family-communication features as part of the care relationship. Consent for, and the handling of, children's photos and media is addressed in the enrollment agreement and consent materials you complete when your child is enrolled, not through this website. Please refer to your enrollment materials, or contact us, for details. The Site is directed to parents and guardians and is not intended for use by children.

Cookies and tracking technologies

Our Site uses cookies and similar technologies. Some are necessary for the Site to function; others help us understand and improve how the Site is used. Specifically:

  • Analytics cookies — our web-analytics service sets cookies to measure Site usage in aggregate (such as page views and traffic sources). This helps us improve the Site.
  • Mapping and embedded-content cookies — pages that show a map or other embedded content from a third-party provider may cause that provider to set cookies or receive your IP address when the content loads.

You can control cookies through your browser settings, including blocking or deleting them, though some parts of the Site may not work as intended if you do.

How long we keep information

We keep personal information for as long as it is needed for the purposes described in this policy and as required to meet our legal, regulatory, and Virginia child care licensing obligations, after which we take steps to delete it or remove its identifying details. Inquiry and applicant information is generally kept for a shorter period than the records of enrolled families, which we are required to retain under child care licensing rules.

Your privacy rights

Subject to applicable law, you may ask us to:

  • access the personal information we hold about you,
  • correct inaccurate personal information,
  • delete personal information,
  • receive a copy of certain information you have provided, and
  • opt out of certain uses of your information.

We will not discriminate against you for exercising these rights. Some information — for example, records we are required to keep as a licensed child care provider — may be retained even after a deletion request, as permitted by law. To exercise any of these rights, contact us using the details in "Contact us" below. We will respond within the time required by applicable law. To protect your privacy, we may need to verify your identity before acting on a request, and where a request concerns a child, we will work with the child's parent or guardian.

How we communicate with you

We may contact you to respond to your inquiry, to provide service-related information about your child's care or your account, to resolve a question or concern, or — where you have asked to hear from us — to send occasional updates about CLC. We may reach you by email, telephone, text message, or mail. You can ask us to stop sending non-essential messages at any time by contacting us.

Withdrawing consent

If you no longer want us to use your information for a purpose you previously agreed to, or you would like us to stop contacting you, please contact us at CLC@callahancare.com. Some information necessary to provide care or to meet our legal obligations may need to be retained.

How we protect information

We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date above and post the updated policy on this page. If we make material changes, we will take reasonable steps to let you know.
